A consulting company providing legal and accounting services for businesses approached us. Over time, the volume of incoming inquiries had grown significantly, but a large portion of requests did not match the company's profile.

Common inquiries included individuals with everyday legal questions, entrepreneurs seeking free consultations, clients with no budget for services, and requests unrelated to the company's specialization.

Managers were forced to contact every lead, spending time on non-target clients while strong prospects received responses too late.

Objective

The company wanted to automate initial client interaction. The system had to:

  • automatically respond to new inquiries
  • conduct initial communication with the client
  • ask clarifying questions
  • determine whether the request matches the company's profile
  • pass only relevant leads to managers

Solution and how the system works

We built an automated lead qualification system powered by n8n and AI models. When a new lead submits a request on the website, an AI assistant initiates a conversation and asks key questions:

  • whether the request is business-related or personal
  • what type of service is needed
  • the scale of the task
  • whether a one-time consultation or ongoing support is required
  • the urgency of the matter

Based on the responses, the system builds a lead profile. If the client matches the company's profile — a CRM card is created, the conversation is saved, and the manager receives an already qualified lead. If the request is non-target — the system handles the client independently without manager involvement.

Result

After implementation, the company achieved:

  • manager time spent on initial lead processing reduced by more than 60%
  • automatic filtering of non-target inquiries
  • faster response times for potential clients
  • improved sales team efficiency
