Our team was approached by a company selling electronics through an online store, marketplaces, and social media. The main customer flow came from several sources: website forms, Instagram, Facebook Ads, and marketplaces.
All initial lead processing was done manually — managers copied client contact details, sent a welcome message, created a deal in the CRM, and forwarded the request to a team chat for distribution. Processing a single lead took 10–15 minutes.
As advertising scaled, some leads were processed too late or got lost between channels — directly impacting conversion rates.
What we did
We designed and implemented an automation system based on n8n that became the central hub for processing all incoming leads. Now all leads from different channels flow into a single system and undergo automatic processing.
How the automation works
Each new lead automatically enters the system via API or webhook. The system:
- collects client data from the form or advertising platform
- validates email and phone number
- automatically creates a deal in the CRM
- distributes leads among managers based on predefined rules
- sends the client a welcome message
- can automatically respond to basic questions following a predefined scenario
- notifies the manager via Telegram or Slack about a new qualified lead
Result
After implementation, the company completely eliminated manual lead processing:
- lead processing in seconds instead of 10–15 minutes
- lead loss reduced by approximately 35%
- over 40 team hours saved per month
